Retention and deletion
How long records are kept, why, and how organisations control deletion and access requests.

Organisations set the schedule
Each organisation is the controller of its case records and decides how long each type of record is kept, based on its legal duties and its regulator’s guidance. SSG Journal provides a retention schedule per record type so that decision is written down and visible.
We do not set a single retention period for every customer. Records of children in care are often kept for many years, so organisations should take their own advice on the right period.
Archive on delete
When a record is deleted, a copy is saved to a restricted archive first so that an accidental or improper deletion can be recovered and investigated.
Access requests and leaving the service
Managers can export everything held about a young person as a file to answer a subject access request. A full workspace export is available if an organisation leaves, so it is never locked in.
